Money Handling Tips and Common Errors

$ $ MONEY HANDLING TIPS $ $

  1. As check payments are received, review the check for:
    1. Current date.
    2. Check is made out to UNL.
    3. Dollar amounts (numerical and word) are correct and are the same.
    4. Signature of maker is on the check. Once a maker walks away it is much more difficult to correct.
  2. Promptly endorse all checks and money orders or travelers checks.
  3. Checks must be added on an adding machine tape, which shows a clear at the top of the tape, and no more than 100 or so checks should be on a tape. The checks must be submitted to us in the exact same order as they appear on the tape.
  4. It is nice, but not necessary, to have larger sized checks on the bottom of a pile of checks - they are less likely to be damaged by the rubber band when this is done.
  5. When there is more than one group of checks being remitted on a form there needs to be an adding machine tape, again showing a clear at the top, summarizing the groups. The groups should be submitted to us in the exact same order as they appear on the tape.
  6. Cash is reported and summarized entirely separate from checks. It should all be facing the same direction and grouped by denomination. All denominations except for $1 bills are banded by groups of $500, $1 bills are banded at $50.
  7. For convenience sake, yours as well as ours, currency should be paperclipped by groups of $100 for $5, $10 and $20 bills and by $25 for $1 bills. By doing this periodically you know at the end of the day they have been counted and you can simply band or count them by group during the balancing process.
  8. When bundled, currency must have an adding machine tape, showing a clear at the top, summarizing amounts by denomination. When a coin envelope is used it too needs an adding machine tape showing a clear at the top
    summarizing the coin contained in the envelope.

COMMON ERRORS

  • Travelers checks are checks (do not add with cash)
  • Clear at the beginning of tape (otherwise tape is useless)
  • Make sure the check has been signed
  • Make sure ALL checks are endorsed
  • Use separate adding machine tapes on currency and checks(we actually send these tapes to the bank)
  • Money is not to be left with individual receipts (T and K Tickets)
